Increase Your Productivity with These 6 Time Management Tools and Techniques

So, how can you boost your productivity and efficiency? We’ve gathered a list of tactics and tools to assist you.

There is an issue at work that has to be addressed: the average American works 8.8 hours each day, but data shows that they are only effective for approximately three of those hours.

This is startling for several reasons. For starters, it demonstrates that people frequently work unreasonably long days. Second, people are only utilizing approximately 37% of their daily output potential.

With that in mind, it goes to reason that if you could boost your productivity, you’d have more time to either squeeze in more meaningful work each day or simply enjoy some well-deserved downtime.

Professional Time Management Techniques

Increasing your efficiency and production requires you to become a master of time management. As a result, it’s a good idea to include one of these two common approaches into your life.

  1. The Pomodoro Method

Our attention spans as humans are simply not that lengthy. It’s in our nature. So forcing oneself to sit down and work for many continuous hours is probably not the ideal strategy.

That is the principle of the Pomodoro Technique, which entails working in 25-minute increments followed by five-minute intervals, with a larger break after every fourth increment.

It operates as follows:

  • Step 1: Pick a task
  • Step 2: Set a 25-minute timer
  • Step 3: Work until the time is up
  • Step 4: Take a five-minute break
  • Step 5: After every four increments, take a longer break of 15 to 30 minutes

The key to success with this strategy is to avoid distractions such as emails, messages, or business chats for the whole 25-minute period.

  1. Eisenhower’s Matrix

This strategy, developed by President Dwight D. Eisenhower during his presidency, is based on categorizing jobs into four quadrants:

  1. Urgent + Important: These are jobs that require your immediate attention, such as emails, phone calls, and meetings, as well as those that are time-sensitive. These should be completed first.
  2. Not Urgent + Important: Tasks in this quadrant contribute to long-term goals but do not have a strict deadline. These should be scheduled but not prioritized right away.
  3. Urgent + Not Vital: If a task has a tight deadline but isn’t necessarily important, find a way to delegate it to someone else–whether a team member or someone you outsource it to.
  4. Not Important + Not Urgent: Eisenhower’s technique states that if you have something on your plate that is neither important nor urgent, it should be removed. This is the lowest priority and can be dealt with as and when you have time.

You can better plan your day and get the most out of every working moment if you understand the relevance of the different items on your to-do list.

4 Time Management Resources

After you’ve settled on a time management approach to pursue, you may supplement your efforts using apps and tools.

Here are some suggestions based on the most typical efficiency stumbling blocks.

  1. Todoist

Putting your things on a basic to-do list in this tools after you’ve prioritized them can make a great difference. It not only helps you keep organized, but the simple act of physically crossing items off your list offers you small victories throughout the day.

The app operates on a freemium premise, however the premium edition costs only about $5 per month.

  1. Toggl

If you really want to boost your time management, it’s a good idea to collect actual data on how your workday unfolds this is one of the perfect tools.

Toggl’s free version provides more than enough capabilities for a single user, but it also includes a premium version that is more suitable for teams and costs $10 per month per user.

  1. Command E

Fortunately, this tools is when you need to find almost anything on your computer or in the cloud, Command E is a terrific tool. This free tool allows you to access papers, files, calendar invites, emails, and lists all in one spot.

  1. Calendly

If you spend a lot of time in meetings or on calls, combing through calendars to find a time that works for you might be a huge time drain.

Calendly allows you to simply post a link that allows others to select a time when you’re available and arrange an appointment in your calendar. It will even send them a calendar invite with dial-in and video conferencing links. You can also embed this on your website for leads that want to contact you.
